HR Management for Philippine Companies: What PeopleCore Gets Right

Generic HR systems miss the details that matter for Philippine businesses. PeopleCore handles government IDs, mandated leave types, and payroll integration out of the box.

Philippine HR departments have requirements that generic HR software wasn’t designed for. Government ID tracking for SSS, PhilHealth, Pag-IBIG, and TIN. Mandated leave types with specific accrual rules. Attendance computations that feed into a payroll system with Philippine-specific deductions. And all of this for employees who might be regular, probationary, or contractual — each with different entitlements.

Most HR teams work around these gaps with spreadsheets and manual processes layered on top of their HR system. PeopleCore was built to eliminate those workarounds.

Philippine-Specific by Design

Government ID Management

In a generic HRMS, government IDs are custom fields — unstructured text that nobody validates or reports on. In PeopleCore, SSS number, PhilHealth number, Pag-IBIG MID, and TIN are first-class fields with dedicated storage. They’re always in the same place, always in the same format, and always available for the reports that government agencies require.

Mandated Leave Types

Philippine labor law mandates specific leave types: vacation leave, sick leave, maternity leave (expanded), paternity leave, solo parent leave, and others. Each has its own rules:

  • Annual limits that vary by leave type
  • Accrual rules — some accrue monthly, some are granted annually
  • Carry-over policies — configurable per leave type
  • Gender restrictions — maternity and paternity leave are gender-specific
  • Service-based eligibility — some leave types require minimum tenure

PeopleCore handles all of this natively. Leave types are pre-configured with Philippine defaults, and HR can customize rules as company policy dictates.

Automatic Leave Accrual

Leave balances aren’t static numbers that HR updates manually. PeopleCore runs a background job that automatically accrues leave balances monthly based on each leave type’s configuration. When an employee submits a leave request, the system validates against their current balance, checks for overlapping dates, and excludes weekends and Philippine holidays from day counting.

No spreadsheet can do this reliably at scale.

The Full HR Lifecycle

Recruitment Pipeline

Post job openings, receive applications, and track candidates through a structured pipeline: Applied, Screening, Interview, Offer, Hired, or Rejected. Schedule interview stages and document feedback. When a candidate is hired, convert their record directly into an employee profile — no re-entering data.

Organization Structure

Define your company hierarchy with departments (supporting nested sub-departments), teams, and positions with grade levels. Assign reporting relationships that drive approval workflows. When an employee requests overtime or leave, the request routes to their direct manager automatically.

Attendance and Overtime

Record daily time-in/out with automatic calculation of lates, undertime, and overtime. The overtime approval workflow ensures managers only approve their direct reports — no cross-department approvals that bypass proper oversight.

Holiday tracking includes both regular and special non-working holidays, with support for recurring dates. The system knows that Christmas Day is always December 25, so you don’t need to re-enter it every year.

Performance Reviews

Create quarterly or annual review cycles, assign reviewers, and collect both self-evaluations and manager scores. KPI items support targets, actuals, and weights, with automatic weighted score calculation. The result: structured, quantifiable performance data instead of subjective narratives.

Shift Scheduling

This is where PeopleCore goes beyond typical HRMS territory. The scheduling module includes shift templates (with start time, end time, and break duration), rotating patterns with configurable pattern slots, and employee shift assignments. Operations teams with multiple shifts — production, warehousing, customer service — get proper scheduling support instead of spreadsheet workarounds.

Analytics Dashboards

Two analytics modules provide real workforce intelligence. HR Analytics covers headcount, turnover, attendance trends, and leave utilization. Executive Analytics provides strategic views — workforce cost, departmental metrics, and recruitment funnel performance. Both are filterable by department, team, and date range.

Employee Self-Service

The ESS portal gives employees direct access to their own data — My Profile for personal information, My Attendance for attendance records, and My Leave for submitting leave requests and checking balances. This alone eliminates a significant volume of routine HR inquiries.

Payroll Integration

PeopleCore doesn’t try to do payroll — that’s PayZen’s job. Instead, it exposes dedicated export API endpoints that PayZen consumes on a cutoff schedule. Employee data, attendance records, and leave information flow to payroll automatically.

This separation is intentional. HR and payroll are related but distinct functions with different access requirements, approval workflows, and audit needs. Keeping them in separate systems with a clean API boundary ensures each does its job well without compromising the other.

Built for Philippine Reality

PeopleCore isn’t a generic HRMS with a Philippine language pack. It’s built with Clean Architecture (Domain, Application, Infrastructure, API, Web) for the specific requirements, compliance obligations, and operational patterns of Philippine companies. Every feature reflects how Philippine HR departments actually work — not how a foreign software vendor thinks they should work.

If your HR team is spending hours on manual leave tracking, shift scheduling, government ID reporting, or attendance reconciliation, those hours are recoverable. PeopleCore automates the routine so your HR team can focus on the work that actually requires human judgment.
